Privacy Policy
This policy explains what personal information Indoor Elements Mechanical Ltd. collects, how we use and protect it, and the choices you have — including how we handle text messages and email under Canada's privacy and anti-spam laws.
Effective date: June 7, 2026
1. Who we are
Indoor Elements Mechanical Ltd. (“Indoor Elements,” “we,” “us,” or “our”) is an HVAC, plumbing, and electrical contractor based at 8549 112 St, Grande Prairie, AB T8V 6A4, Canada. We are responsible for the personal information we collect through our website, phone, email, text messages, and in the course of providing our services.
This policy is intended to comply with Canadian privacy law, including the Personal Information Protection and Electronic Documents Act (PIPEDA), Alberta’s Personal Information Protection Act (PIPA), and Canada’s Anti-Spam Legislation (CASL).
2. Information we collect
We collect personal information that you provide to us and information collected automatically when you use our website.
Information you give us
- Contact details such as your name, mailing or service address, phone number, and email address.
- Details about your service request, property, and the work you would like us to perform.
- Information you submit through our contact form, careers application, financing inquiries, or when you book or pay for service.
- Any messages, photos, or other content you send us by email, text, or through our website.
Information collected automatically
- Device and usage information such as IP address, browser type, pages viewed, and referring pages, collected through cookies and similar technologies.
- Analytics and tag-management data (for example, through Google Tag Manager and Google Analytics) used to understand how our site is used and to improve it.
3. How we use your information
We use personal information to:
- Respond to your inquiries and provide quotes, scheduling, service, and follow-up.
- Perform and document the HVAC, plumbing, and electrical work you request.
- Process payments and, where applicable, financing applications through our partners.
- Send service-related communications such as appointment confirmations, reminders, and updates.
- Request feedback or a review after we complete work for you (see Section 5).
- Operate, secure, and improve our website and services, and comply with our legal obligations.
4. Consent
We collect, use, and disclose your personal information with your consent, except where the law permits or requires otherwise. Depending on the sensitivity of the information and the context, your consent may be express (for example, opting in to text messages) or implied (for example, providing your phone number so we can call you about your service request). You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting us using the details in Section 12. Withdrawing consent may limit our ability to provide certain services.
5. Text messaging, A2P messaging & CASL compliance
This section describes how we use SMS/text messaging and how we comply with CASL when we send commercial electronic messages (CEMs), including review requests, by text or email.
What texts we send
Today, our primary use of text messaging is to send review requests after we have completed service for you — a short message inviting you to leave a review of your experience. We may also use text messaging for service-related (transactional) messages such as appointment confirmations, reminders, technician arrival notifications, and updates about work in progress. If in the future we send promotional or marketing texts (offers, seasonal maintenance reminders, or deals), we will do so only in accordance with this policy and applicable law.
Consent to receive texts (A2P)
Our text messages are sent using application-to-person (A2P) messaging through a third-party messaging provider. We send commercial text messages — including review requests and any future promotional texts — only where we have your consent or another lawful basis under CASL. You may provide consent by giving us your mobile number for this purpose, by checking a consent box, by texting us first, or by otherwise opting in. By providing your mobile number and agreeing to receive texts, you consent to receive automated text messages from Indoor Elements Mechanical at that number.
Identification, frequency & costs
- Our messages identify Indoor Elements Mechanical as the sender.
- Message frequency varies based on your interactions with us.
- Message and data rates may apply, depending on your mobile carrier and plan.
- Consent to receive marketing texts is not a condition of purchasing any product or service from us.
How to opt out or get help
You can opt out of our text messages at any time by replying STOP to any message you receive from us. After you reply STOP, we will send a final confirmation and will not send you further texts of that type, except as needed to process your opt-out or as otherwise permitted by law. Reply HELP for assistance, or contact us using the details in Section 12. You may also withdraw consent to email commercial messages by using the unsubscribe link in those emails.
CASL unsubscribe & records
Every commercial electronic message we send identifies us, includes our contact information, and provides a working unsubscribe mechanism. We honour unsubscribe and STOP requests promptly and in any event within the time required by law. We keep records of consent and of communications sent as required to demonstrate CASL compliance.
Mobile information is never shared for marketing. We do not sell, rent, or share your mobile phone number or text-messaging consent with third parties or affiliates for their own marketing purposes. We share this information only with the messaging providers and service vendors that help us deliver these messages on our behalf, as described in Section 6.
6. When we share information
We do not sell your personal information. We share it only as needed to operate our business and provide our services, including with:
- Service providers who work on our behalf — for example, messaging and email providers, scheduling and payment processors, hosting and analytics providers, and our financing partner — and who are required to protect your information and use it only for the services they provide to us.
- Professional advisors such as lawyers, accountants, and insurers, where reasonably necessary.
- Authorities or other parties where required or permitted by law, to comply with legal process, or to protect our rights, property, or safety and that of others.
- A successor entity in connection with a business sale, merger, or reorganization, subject to appropriate protections.
Some of our service providers may store or process information outside Alberta or Canada. Where that occurs, the information may be subject to the laws of the jurisdiction in which it is held.
7. Cookies & analytics
Our website uses cookies and similar technologies to make the site work, remember your preferences, and measure how the site is used. You can control cookies through your browser settings; disabling some cookies may affect how the site functions. We use Google Tag Manager and analytics tools to collect aggregate usage data.
8. How we protect your information
We maintain reasonable physical, organizational, and technological safeguards designed to protect your personal information against loss, theft, and unauthorized access, disclosure, or use. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
9. How long we keep information
We keep personal information only as long as reasonably necessary for the purposes described in this policy, to provide and document our services, and to meet our legal, tax, and contractual obligations. When information is no longer needed, we take reasonable steps to securely destroy, delete, or anonymize it.
10. Your choices & rights
Subject to applicable law, you may:
- Request access to the personal information we hold about you and ask how it has been used and disclosed.
- Ask us to correct information that is inaccurate or incomplete.
- Withdraw your consent or opt out of marketing communications, including texts and emails.
